Case study: Security and reception for events on sensitive sites

AIRBUS HELICOPTERS :

40,000 visitors in 1 day to a production site classified as a Protected Zone, under government protection, a Point d'Importance Vitale and close to an airport.

Background :

During Pioneer Day, Airbus Helicopters invited all its employees and their families - over 40,000 people- to its main production site. The day's program included a tour of the site, visits to production lines, exhibitions and an air show. Visitors were free to roam the site, except in certain areas to which access was forbidden.

Risk audit and system configuration

Securing such an event required over 6 months of preparation. Our experts carried out a risk audit to define the size and configuration of the security and reception system, taking into account our customer's needs. We also worked closely with Airbus Helicopters' security department to ensure the best possible visitor experience.

The potential threats were numerous, so we mobilized and recruited 377 agents, including over 140 event security agents, as well as a mobile PC to ensure that visitors complied with Airbus Helicopters markings and safety instructions.

Parking and accessibility

In order to accommodate 40,000 visitors, a large number of parking lots in major facilities and shopping centers in the vicinity have been privatized (12,200 parking spaces), and a system of buses and shuttles has been specially set up to transport visitors to the site.

Throughout the day, for each parking area, agents filtered the flow of visitors while ensuring that the premises were accessible.

Organization and instructions

To ensure optimal team management, we opted for a zone-based organization to facilitate the management of services on such a large site, and published a 60-page booklet of detailed, explicit instructions for each zone and each agent.

Agents were divided into teams within each zone. A changing room was made available to them at the start of the day.

 

Combination of reception and security staff

At the entrance to the site, a specific protocol has been put in place to ensure a smooth visitor flow. To speed up visitor screening, we set up 32 queues. For each queue, a security guard and a receptionist were responsible for checking access QR codes and bags.

Similarly, reception and security staff were deployed throughout the site, according to the risks in each zone.

Technology to back up the human side

The day was punctuated by helicopter flight demonstrations, which attracted the majority of visitors to the same area. We recommended and deployed our mobile security PC solution to support our agents. Equipped with a telescopic video-surveillance mast, this solution broadens our agents' field of vision and enables them to detect risky situations at a distance, particularly in the case of large gatherings.

 

A tailor-made welcome

We've also set up tailor-made reception services for the occasion: VIP welcome and service, distribution of goodies, guidance and information...

Employees were provided with exclusive logo outfits for the event, so that they could be easily identified by visitors.
